This policy explains what information Ephraim Neuman, doing business as KolHotline (“KolHotline”, “we”, “us”) collects, why we collect it, and what we do with it. We have tried to write it in plain language rather than legal fog.
This policy covers two different groups of people, and it is worth keeping them apart:
An important distinction. For information about callers, our customer is the one who decides how that information is used. We only process it on their behalf and according to their instructions. If you called a hotline and want your information removed, contact the organization whose number you dialled — though you may also write to us and we will help.
| What | Examples | Where it comes from |
|---|---|---|
| Account details | Name, organization name, email, phone number, address | You, at signup |
| Payment details | Card brand, last four digits, expiry, billing address | Stripe — we never receive your full card number |
| Your content | Greetings, recordings, menu names, voicemails on your line | You, by upload or by phone |
| Usage data | Minutes used, calls received, top-ups purchased | Generated by the service |
| Technical data | IP address, browser type, pages visited, login times | Automatically, when you use our website |
| Support messages | Emails and calls with us | You, when you contact us |
When somebody calls one of our customers’ hotlines, we record:
What we do not do. We do not record the audio of ordinary calls — only voicemails that a caller deliberately leaves. We do not build advertising profiles of callers, and we do not use caller data for any purpose except providing the service to the customer whose number was dialled.
If a caller withholds their number, we receive no number and simply log the call as coming from a blocked caller.
We send marketing email only if you opt in, and every marketing email has an unsubscribe link. Service and billing notices are not marketing, and you cannot unsubscribe from those while you have an active account.
We share information only with companies that help us run the service, and only as much as they need:
| Who | What they get | Why |
|---|---|---|
| Telephone carriers | Phone numbers, call routing data, your audio | To actually deliver phone calls and text messages |
| Stripe | Name, email, payment details | To process payments securely |
| Hosting & storage providers | Account data, recordings | To run our servers and store audio |
| Email & SMS delivery | Email address, phone number | To send receipts and alerts |
| Transcription provider | Voicemail audio, if transcription is on | To produce voicemail transcripts |
These providers are bound by contract to protect the information and to use it only for the purpose we hired them for.
We may also disclose information if the law requires it, if we receive a valid legal request, or to protect the rights and safety of our customers, our callers, or ourselves. If we are legally allowed to tell you about such a request, we will.
If our business is sold or merged, information may transfer to the new owner. We will tell you before that happens and before your information becomes subject to a different privacy policy.
Plainly stated: we do not sell, rent, or trade your personal information or your callers’ personal information. We do not share it for cross-context behavioural advertising. We have never done so and we have no plans to.
| What | How long |
|---|---|
| Your recordings | While your account is active, then 30 days after cancellation |
| Voicemails | The period you choose in your settings (30 days, 90 days, 1 year, or until you delete them) |
| Call logs | 24 months, then deleted or anonymised |
| Account & billing records | 7 years after your account closes, as tax law requires |
| Support messages | 3 years |
You can delete individual recordings and voicemails yourself at any time.
We protect information with encryption in transit (TLS) and at rest, access controls that limit who on our side can see what, hashed passwords and hashed admin PINs, and logging of administrative actions.
No system is perfectly secure. We cannot guarantee absolute security, and you share responsibility — use a strong password, do not share admin PINs, and turn off a PIN when someone no longer needs it. If we become aware of a breach affecting your information, we will notify you as required by law and without undue delay.
Whatever state you live in, you may ask us to:
Write to ephraim@kolhotline.com. We will verify who you are and respond within 30 days. We will not charge you or treat you worse for exercising these rights.
If you live in California, Colorado, Connecticut, Virginia, Utah, or another state with a comprehensive privacy law, you have the rights listed above, plus the right to appeal if we refuse a request — write to ephraim@kolhotline.com with “Appeal” in the subject line.
For California residents specifically: we do not sell personal information and do not share it for cross-context behavioural advertising, including with respect to anyone under 16. We collect the categories described in section 2 for the purposes described in section 4.
Our service is for organizations and adults. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, write to ephraim@kolhotline.com and we will delete it.
We recognise that children may call a hotline — a school closing line, for instance. In that case we hold only the caller ID and the call record, exactly as for any other caller.
We use a small number of cookies:
We do not use advertising or cross-site tracking cookies. Your browser lets you block cookies, but blocking essential ones will stop you logging in.
If we make a material change, we will email you at least 30 days beforehand and update the date at the top of this page. Older versions are available on request.
